Policies
Catering hours of operation are 8:00am – 5:00pm Monday through Friday.
Order online at eav-cgc.catertrax.com. Our online ordering tool accepts orders up to 48 hours prior to the date of the event. For orders within 48 hours, please contact your catering team.
All catering is to be booked through our catering platform Catertrax followed by any further updates or change requests. Exceptions may apply. Catering requests received by email Monday to Friday, 9:00am-4:00pm, will be responded to within 24 hours. Outside of office hours requests will be acknowledged by the end of next business day. Confirmation of your request will be sent within one business day of receipt.
We request a minimum notice of three business days for any new bookings and five business days for any new bookings with 50 attendees or more. All requests received within the minimum days of notice will be accommodated case by case.
Should there be a guest(s) attending the event that has a food allergy, the booking requester shall inform the catering team of the names of such guest(s) and the nature of their allergies so we may take the necessary precautions in preparing their food. We undertake to provide, on request, full information on the ingredients of any items served to your group. We do not guarantee 100% free of any allergens due to potential of cross contamination.
We encourage ordering from the Catering Menu. Event Menu details need to be finalized two business days prior to the function date. Custom menus are available and will be accommodated case by case. Custom menus will be defined as off menu items/requests. Custom menus will be a collaboration based on the request and the ability of execution. Custom menu details need to be finalized four business days prior to the function date. Custom menu prices are subject to change reflecting specific requests.
Guaranteed guest count will be provided two business days prior to the event date. This guest count number will be considered the guaranteed minimum and may not be reduced within two business days of the function date.
We require notice of a function’s cancellation two business days prior to the function date. Should a cancellation be received within the two business days, all perishables and or custom menu will be fully charged at the event guaranteed.
Compass will not provide food/beverage/services to accompany outside catering. Due to provincial health regulation, outside catering cannot be combined with in-house Compass services.
Purchase of cutlery, plate wear, napkins and cups are available through Catertrax.
As a cost-effective, value service option, Compass may provide case products at a reduced cost for delivery. Items ordered through Catertrax will be delivered upon complete order availability within one business day of items received. Items will be dropped off in original packaging and require a signature of receipt.
An account and a valid credit card is required. Quotes are an estimate and will be updated by the catering team should there be any last-minute changes. Alcohol is charged on consumption.
The requester is responsible for ensuring that the credit card limit is available to process charges in order to prevent any potential late charges.
Payment will be applied to the credit card on file following the event's completion. Final invoice will be sent within one business day following the event’s completion.

These guidelines are established to remind EA Vancouver employees of the policy regarding onsite alcohol consumption and to establish and outline the procedures to be followed in obtaining alcohol for consumption onsite.
EA’s policy regarding alcohol consumption is mentioned in the Global Code of Conduct and set out in the Substance Abuse Policy (October 2015). It states:
To ensure we offer a healthy and safe environment for all employees and our guests, the following sets forth our substance abuse policy:
Use of illegal drugs by employees, visitors or contractors on EA premises or at EA events is prohibited.
Employees may not perform work for EA while under the influence of alcohol or an illegal drug. An employee who must take a legal drug (e.g., prescription medication) due to a physical or mental condition must discuss that need with HR if the drug may influence work performance or behavior at work.
Consumption of alcohol on EA premises or at EA events must be limited to moderate amounts by employees of legal age. We strongly urge employees to be responsible in their use of alcohol and not to drive under the influence of drugs or alcohol. Employees may not bring containers of alcohol onto EA premises and consume them on EA premises.
Managers are responsible for ensuring that EA Vancouver employees are aware of the Substance Abuse Policy. In addition, managers at EA Vancouver are responsible for ensuring compliance with this policy. To ensure the safety of EA Vancouver employees and others, as part of booking events involving alcohol consumption, managers are responsible for arranging taxi vouchers prior to an event, that managers or employees can request from the event organizer or the EA Vancouver Security desk to ensure that no employee drives when there is any risk he or she is impaired.
EA Vancouver purchases and stores various alcoholic beverages onsite. EA Vancouver employees who wish to obtain alcoholic beverages for consumption onsite must follow the procedure outlined below. Under no circumstance should alcoholic beverages obtained onsite be taken or consumed offsite.
Alcoholic beverages are stored and dispensed by Catering staff.
A request for alcoholic beverages may be made only by EA Vancouver employees. Contractors and other onsite personnel are not permitted to make a request.
An employee wishing to make a request for alcoholic beverages must order through the online catering site.
All standard alcohol requests must be ordered no less than 48 hours prior to delivery. All orders containing alcohol must be approved by the Catertrax online alcohol approval system. Once order is placed, kindly fill out the Approval Form and have one of the approvers from the Approval Matrix authorized the order. Once approved the order will change from a yellow pending approval to green approved. Please note that unauthorized alcohol requisition orders will not be processed or dispense. Please refer to the liquor selection on the catering menu when placing your order. Alcohol approvals need to be completed 24 hours prior to delivery.
Hard liquor or other specialty alcohol is not available except for studio-wide special events, approved in advance by Human Resources.
Catering staff will not dispense any alcoholic beverages unless they receive a fully completed and appropriately authorized order.
Unless prior approval has been received from the Director of Human Resources, managers should not otherwise authorize or otherwise permit employees to purchase alcoholic beverages on behalf of EA Vancouver for onsite consumption. This includes purchase of alcoholic beverages using company credit cards.
